SENIOR INSIDE SALES REPRESENTATIVE
job description
–Providing customer service: taking orders by phone, fax, email, website, and from other sales reps; inputting orders into MAS90 and ensuring timely fulfillment via stock-on-hand and vendor purchase orders; communicating order totals and confirmation to customers when requested; monitoring any customer back orders so that items ship as soon as possible; arranging pickups of empty cartridges and creating donation letters when requested; communicating any necessary special arrangements with the Shipping Manager for hand deliveries or VIP orders
–Acting as support to sales staff: mailing and emailing catalogs, brochures, and other sales material as instructed by sales reps and providing any other support as requested, including sales recaps; maintaining good communication with sales staff
–Issuing price quotes to customers, potential customers and other office staff using established pricing or creating new pricing when necessary; keeping all price lists/quotes current and readily available
–Gathering necessary customer information and then setting up new accounts in MAS90
–Handling customer returns/refunds using RMAs: sending out call tags and arranging for replacements if necessary
–Finalizing and printing of customer invoices so that billing is done in a timely manner
–Keeping necessary laserjet/inkjet stock items on hand through vendor purchase orders and ensuring timely delivery; coordinating with the Shipping Manager to make sure there are plenty of call tags on hand; inventory part number maintenance for new/existing items when appropriate
–Website maintenance: setting up customers for website ordering; processing website orders; communicating any website errors, including pricing issues, to the proper individuals for correction if necessary
–Forwarding any customer accounting issues to Accounts Payable/Receivable for handling
–Management/coordination of special accounts, i.e. Ohio Army National Guard, Kirkland & Ellis, etc.
–Checking the office voicemail, email, postal mail and incoming faxes; distributing messages and handling correspondence appropriately; fielding office vistors as needed
–Ordering copy paper and other office supplies when necessary
–Taking the minutes of monthly meetings and typing up a copy for company records
–Training new staff members as needed; delegation of tasks to other staff as necessary
